Before you use this template, read the next two paragraphs — they save more money than the letter does.
If you're cancelling because you're unhappy with your agent, not your coverage, you probably want a different document. A Broker of Record letter moves your policy to a new agent while keeping the same carrier, same coverage, same premium, and same policy number. Nothing re-underwrites, nothing lapses, and you don't lose your renewal credit or your claims-free history. Cancelling and re-buying achieves the same service outcome and costs you all of that.
If you are genuinely replacing the policy, never cancel before the new one is bound. A gap of even one day creates a lapse. A lapse raises your next premium, can trigger force-placed insurance if you have a loan, and — for auto — can mean a registration and licence problem in California. Bind first, then cancel, and make the cancellation effective on the date the new coverage starts.
With that settled, here's how to do it properly.
Before you send it: the five-minute check
☐ Replacement coverage is bound, with a written confirmation and the effective date in hand
☐ Effective dates align exactly — new policy starts the same day the old one ends, no gap, minimal overlap
☐ You know whether cancellation is short-rate or pro-rata. Pro-rata returns the unearned premium proportionally. Short-rate applies a penalty. Most personal lines cancellations in California are pro-rata; some commercial policies are short-rate on insured-requested cancellation. Ask before you send.
☐ Autopay and EFT are addressed. Cancelling the policy does not always stop the draft; tell your bank as well as the carrier.
☐ Your lender or lienholder has the new policy, if there's a mortgage or auto loan
☐ Any minimum earned premium is understood — some specialty and surplus lines policies have one
☐ You've asked about the loss of a bundling discount on any policy you're keeping with the same carrier
That last one catches people constantly: cancelling the auto policy quietly raises the home premium.

Note on workers' comp and auditable policies: cancellation does not end your obligation to complete the final premium audit. Expect an audit invoice or a return premium after the fact, and request the loss runs while you're still a customer — they're much harder to obtain afterwards.

How to send it, and what to keep
Email to the carrier's service address, and copy your agent. Keep the sent message.
For anything significant, follow up by certified mail. The receipt is the proof.
Do not cancel by phone alone. Verbal cancellations get mis-keyed, mis-dated, and disputed.
Keep, permanently: your copy of the letter, the delivery confirmation, the carrier's written cancellation confirmation, and the refund statement.
Watch your bank account for two billing cycles to confirm the drafts actually stopped.
Follow up if you have no written confirmation within 10 business days.
What if you're being cancelled, rather than cancelling?
Different situation entirely, with legal protections attached. Read non-renewal in California — you likely have more notice and more options than you think.
FAQs
Do I get a refund when I cancel my insurance policy?
Usually. Unearned premium is refunded, calculated pro-rata in most personal lines cancellations. Some commercial and specialty policies apply a short-rate penalty or a minimum earned premium.
Can I cancel my insurance policy at any time?
Generally yes, as the policyholder. Never do it before replacement coverage is bound.
Do I need to send a cancellation letter, or can I just stop paying?
Send the letter. Stopping payment produces a cancellation for non-payment on your record, which is treated far less favourably by the next carrier than a voluntary cancellation.
Will cancelling hurt my credit or my ability to get insurance later?
The cancellation itself won't. A lapse in coverage will — it's a rating factor with most carriers.
What if I just want a different agent, not a different policy?
Use a Broker of Record letter instead. Same carrier, same coverage, same premium, new agent, nothing re-underwritten.
